How a TPA keeps your staff healthy and your self-funded budget on track

Faster treatment through panel clinics, spending that stays within limits, and medical certificates and claims that no longer land on HR's desk.

A network of panel clinics connected to eBen Assist

Staff medical benefits look simple on paper, but running them in-house quietly consumes HR time, delays treatment and lets the self-funded budget leak. A Third Party Administrator (TPA) such as eBen Assist takes that work off your desk and puts structure around it.

If you fund your staff's medical costs yourself, every clinic visit, Guarantee Letter (GL), claim and medical certificate (MC) passes through your people. Multiply that by hundreds of employees and the workload becomes a full-time job that nobody was hired to do.

Why the panel arrangement is the foundation

A panel is a network of clinics and hospitals that have agreed to treat your staff under set terms, so your employees don't pay upfront and you don't chase receipts afterwards. eBen Assist builds and manages that network for you.

A well-run panel gives your company three things:

  • Convenience for staff. Employees choose from clinics near home or the workplace, and the clinic already knows how to bill the TPA.
  • Agreed terms. Consultation fees, medication charges and procedure pricing are set in advance, so the same visit does not cost different amounts at different clinics.
  • Clear rules. Panel clinics know what is covered, what needs approval and when a GL is required, which cuts disputes at the counter.

Because eBen Assist handles panel onboarding, communication and day-to-day queries, your HR team no longer negotiates with clinics or answers their billing questions.

Faster access to treatment

When an employee is unwell, the first question is where to go and who pays. Without a system, staff delay care, pay out of pocket or wait for HR to reply. A TPA removes that friction.

  1. 1
Staff go to a panel clinic with their employee ID or card.
  2. 2
The clinic verifies eligibility with eBen Assist in real time.
  3. 3
For admissions or larger procedures, the clinic requests a GL. eBen Assist's claims team reviews it against the benefit rules and responds, so treatment is not held up by paperwork.
  4. 4
Treatment starts, and billing goes directly to the TPA instead of the employee.

Fast, cashless access matters beyond convenience. Early treatment of minor illness keeps it from becoming a longer absence, and employees who know the process works are more likely to seek care promptly.

Keeping the self-funded budget from being exceeded unnecessarily

With a self-funded or flexi-benefit scheme, every ringgit comes from your own budget, so overspending is a direct cost. eBen Assist helps you control it without restricting genuine care.

  • Eligibility and limit checks at the point of care. Claims are checked against each employee's entitlement before treatment is approved, so limits are not breached by accident.
  • Adjudication against benefit rules. Each bill is reviewed for coverage, exclusions and reasonableness before payment.
  • Panel pricing. Agreed rates reduce variation between providers for the same treatment.
  • Pre-approval for larger items. GLs for admissions and procedures give the company a checkpoint before significant costs are committed.
  • Regular utilisation reporting. Cost and utilisation reports show where the budget is going, by month, by department and by type of claim, so you can act early rather than at year end.

Better control of MCs and administration

Medical certificates are one of the biggest hidden administrative loads. HR must collect, verify, record and reconcile them against leave and payroll. Because panel clinic visits already flow through eBen Assist, the same data can support MC management.

  • One record of visits and MCs. Each panel visit and the MC issued sit in one place, instead of paper slips scattered across departments.
  • Easier verification. MCs from panel clinics can be traced to a real visit, which helps HR spot unusual patterns.
  • Trend visibility. Reports can show MC days by department or period, so management sees absenteeism patterns early.
  • Less manual work for HR. Claims, GLs, panel queries and member questions are handled by the TPA, so HR deals only with exceptions and decisions.

The result is a cleaner process for staff and a lighter workload for the HR and finance teams.

Let a TPA carry the administration

A good TPA does more than process claims. It gives your staff quick access to care, gives your company control over spending, and gives your HR team their time back.

If your company manages staff medical costs in-house, eBen Assist can review your current process, set up or strengthen your panel arrangements and show you where administration and budget leakage can be reduced.
